Survey of Digital and Non-Digital Scholarly Editions at the University of Oslo

Purpose

The present survey aims at understanding how scholarly editions are produced, published, and archived at the University of Oslo, gaining insights and experiences from researchers, developers, and software engineers who have created digital scholarly editions or prepared printed editions digitally. The main goal is, thus, to map the expertise and knowledge at the university, in order to identify institutional, situational, and subject-specific challenges related to long-term archiving, accessibility, maintenance, data, and software integrity.

The survey runs from June to September 2024 and will be conducted via Nettskjema.

This survey is part of a research project at the University of Oslo Library. The project is led by senior academic librarian and textual scholar Annika Rockenberger, PhD.

What does it mean for you to participate?

Time

In the survey we will ask you about your experience with preparing, developing, and publishing digital scholarly editions or printed editions. The survey will take approximately between 30 and 60 min. to complete, and you may need to review your past research to answer the questions.

Gathering of information

In this project, we aim to collect information about digital scholarly editions or printed editions you have been involved with, either as the project leader or through other roles. The personal information we will collect is the following:

  • First-person information: IP address, your name, institutional affiliation, contact information, and details regarding your research.
  • Third-party information: we will ask about other people involved in the edition project, such as programmers, developers, data analysts, data stewards, etc. Unless these are stated by name publically in association with the edition project, we do not wish that you give their name, and ask you only to mention their role. 

We will gather this personal information through Nettskjema and store it until the end of the project, in case we need to contact you with follow-up questions.

Once the data is collected and analysed, the report will include the following information: edition project title, institutional affiliation, project period, and citability.

After our project is completed, we will archive only information regarding the project and institutional affiliation. All other personal information, e.g., IP address, contact information and name, will be deleted.

Participation is voluntary

Participation in the survey project is voluntary. This means that you can choose whether or not you want to participate. If you choose to participate, you can withdraw your consent at any time before the report is published without providing a reason. All information about you will then be deleted.

De-identified and anonymous data

As this project aims to collect information related to research practices, expertise and knowledge, we cannot guarantee that your participation will not be identifiable. However, we will anonymise the collected data after the survey is completed and erase all personal information. Because we ask for titles and publication dates of digital and printed scholarly editions, there will always be the chance to infer your identity.

Your privacy – how we store and use your information

We will not collect any other personal information than your IP address, name, affiliation and contact information. We will anonymise direct identifiers, such as name, affiliation, IP address and contact information. Depending on what seems most suitable for the data, these will be replaced by a pseudonym or redacted. However, the report will mention the titles of the scholarly editions you worked at. If these are published projects, we cannot guarantee that your participation cannot be traced.

We will not share your personal information with others. Only the project leader and research assistants will have access to it. However, we will keep your contact information, in case additional follow-up questions are necessary, until December 2027, when the project ends. All data will be stored on a secure domain approved by the University of Oslo. After the project ends, all collected data, excluding personal data, will be archived at the University of Oslo’s open data repository, Dataverse.no.

What happens to your information at the end of the present research project?

The survey part of the project will end in February 2025, when the findings will be published as a report. We will ensure that all information about you is deleted by December 2027.

Your rights

You have the right to see the information we collect about you. After completing the survey, you will automatically receive a copy of your answers. You can also request that the information be deleted before December 2024. If any information needs to be corrected, you can let us know and ask us to correct it. You can also ask us for a copy of the information.

You can also complain to the Data Protection Authority if you feel that we have handled your information carelessly or incorrectly.
